Replacement part RFQs are risky when the supplier receives a worn sample, an outdated print, and an urgent delivery target with no hierarchy between them. The drawing package should establish what is authoritative and what remains approximate before manufacturing begins.
Set the source-of-truth hierarchy
Explain whether the supplier should quote from the released drawing, the inspected sample, a 3D scan, or a new CAD model created from legacy information. If the sample is worn or repaired, say which surfaces should not be copied directly into the manufactured part.
Capture assembly and service context
Identify mating features, wear surfaces, rotation direction, fluid contact, or field-installation constraints that affect manufacturability. Replacement parts are often simple in shape but sensitive in interface, so the RFQ should emphasize how the part actually locates and functions in the machine.
Define what must be verified before release
List the dimensions that need recorded inspection, any fit checks against mating hardware, and the marking or packaging details needed for field identification. Buyers should also flag open questions early if missing dimensions will require supplier assumptions or a pre-production review.
